Privacy Policy

Last updated: 18 October 2026

This policy explains what personal data Vid2Book.com (“we”, “us”) collects about you, why we need it, who handles it, and what you can ask us to do about it. It covers this website and the account, library and book features it provides. It is written in plain language — if anything here is unclear, ask us at hello@vid2book.com and we’ll explain.

1. Who is responsible

Vid2Book.com is run by its owner, who is responsible for the personal data described in this policy. You can reach the person handling data and privacy questions at hello@vid2book.com.

2. What we collect

  • Account details. Your email address, and if you sign in with Google, the name and email address Google shares with us.
  • Payment records. Our payment provider handles the card transaction itself. We keep records of what you bought, when, how much, which pack, and the payment and refund status. We do not store full card numbers or security codes.
  • The videos and text you give us. The YouTube links and video files you submit, any transcript supplied for a video, the order of sources in a multi-video book, saved chapter previews and plans, and the books, chapters and glossaries generated for you.
  • Usage and technical data. Your minute balance and the ledger of every deduction and restoration, your chapter-plan and writing-batch approvals, plus ordinary server logs — IP address, browser type, and the pages and requests made — which we use to run and secure the site.
  • Records of staff actions. When a balance, refund, book or label is changed by an administrator, we keep a record of what changed, when and by whom, so that every change can be audited.

3. Why we use it

Before signup, uploaded videos and chapter previews are kept in private storage and associated with an essential browser session. Videos are sent to our AI service to identify chapters, even before you approve paid writing. You can remove an unused completed preview and its video from the upload page. When a preview is used to create a book and its chapter plan, the uploaded video is retained as that book's private source and can no longer be removed through the preview control. Original uploaded-video playback is available only to the book owner.

For books with one or more sources, we keep their selected order, the chapter plan, your approvals and the associated minute deductions. Approval starts a paid writing sample of the first 10% of chapters; further writing waits for your separate approval of the remainder. Pausing, waiting for approval or cancelling stops further work as applicable, but does not itself delete uploaded sources, finished chapters or accounting records.

  • to open and secure your account, and to let you sign in;
  • to take payment, credit minutes, and keep an accurate balance;
  • to plan chapters, enforce your approved writing stages, and show your own library, appendix and search;
  • to keep an auditable trail of refunds, restorations and administrator changes;
  • to prevent fraud, abuse and automated misuse;
  • to comply with a lawful request, or to protect someone’s safety.

4. What we do not do

  • We do not sell your personal information.
  • This site does not load its own advertising or analytics trackers, so there is no behavioural ad profile built here.
  • Your books are private by default and are not listed in a public customer feed. Public demos and any explicitly shared books are exceptions, as described below. We do not email you marketing unless you ask us to.

5. Who handles your data

Only the services that make the site work touch your data, and only for their own part of the job: payment processing, hosting and database storage, email delivery of account and payment messages, and the AI service that watches and transcribes the videos you submit.

Beyond that, we may disclose information where we have to comply with a valid legal request, to investigate or prevent fraud or harm, or in connection with a sale or transfer of the business — and then only the minimum needed.

6. Cookies and signing in

We use a small number of essential cookies and local-storage entries so you stay signed in and your reader settings persist. Checkout and payment pages are hosted by our payment provider, which sets its own cookies under its own privacy policy; we don’t control those.

7. Who can see your books

Books are private to your account by default. “Share by link” is a control the site owner can switch on or off across the whole site. Where sharing is available, it requires an explicit choice to make a book accessible by link. Your 10% writing sample follows the same privacy rules as the rest of your book; it is not a public demo. Uploaded source-video playback stays owner-only. Books published as demos are visible publicly, and site demo content is separate from your account.

8. Your choices and rights

Inside the app you can see your library, your balance and your purchase history.

You can also write to hello@vid2book.com and ask us to:

  • tell you what personal data we hold about you;
  • correct anything that is wrong;
  • close your account and delete your books and related records, apart from what we must keep for accounting, tax or dispute handling;
  • explain a deduction, a restoration or a refund.

If you live somewhere with specific privacy rights — for example the EU, the UK or California — tell us which applies and we’ll handle your request in line with that law, including objections to processing and requests to lodge a complaint with your supervisory authority.

9. Security

Access is limited to what is needed to run the Service, books are private by default, and administrator changes are logged. No method of storage or transmission is completely secure, so please keep your password to yourself and tell us straight away if you think your account has been used without your permission.

10. How long we keep it

We keep your account and library while your account is open. If you close it, we delete your books and personal records, except what we must retain for accounting, tax and dispute purposes. Payment records are kept as long as our payment provider and applicable law require.

11. Children

The Service is not directed at children under 13, or under the minimum age in your country, and we do not knowingly collect their data. If you believe a child has given us personal data, tell us and we’ll remove it.

12. Where data is processed

Our providers operate in several countries, so your data may be processed outside the country you live in. We use mainstream providers for these functions rather than anything unusual.

13. Changes to this policy

We may update this policy. The current version always lives at this address with a “last updated” date, and we’ll try to give notice of material changes before they take effect.

14. Contact

Privacy questions, requests about your data, and copyright notices all go to hello@vid2book.com.
